Private policy Statement

Privacy Policy

Havstead (ABN 76 701 164 883) ("Havstead", "we", "us", "our") is committed to protecting the privacy of the individuals and businesses we deal with. This Privacy Policy explains how we collect, hold, use and disclose personal information in connection with our website and our property asset intelligence and capital planning services.

This Policy is written to align with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth), and the Spam Act 2003 (Cth) in relation to electronic marketing. Havstead may not currently meet the annual turnover threshold that makes the Privacy Act binding on all businesses, but we have chosen to handle personal information in line with the APPs as a matter of good practice and to give our clients and prospective clients confidence in how their information is handled.

By using our website or otherwise providing us with personal information, you consent to the collection, use and disclosure of that information as described in this Policy.

1. What is Personal Information

"Personal information" means information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether the information is true or not. It can include a person's name, contact details, and business information where that information identifies or could identify them.

2. Information We Collect

Through our website enquiry and contact forms, we may collect:

Name
Email address
Business or organisation name and industry
Details about your property portfolio or asset base that you choose to share with us (for example, when requesting information about our services)

We only collect information that is voluntarily provided to us by you, generally when you submit an enquiry, contact us, or engage with our services.

We do not knowingly collect sensitive information (such as health, financial, or other special category information) through our website, and we ask that you do not include this in any enquiry you send us.

Website analytics and cookies

Our website may use analytics and advertising tools, including Google Analytics and the Meta Pixel, to help us understand how visitors use our site and to measure the effectiveness of our marketing. These tools may use cookies or similar technologies to collect information such as your IP address, browser type, pages visited, and general location. This information is generally not used to personally identify you, though it may be linked to other information in limited circumstances (for example, if you have also submitted an enquiry form).

You can control or disable cookies through your browser settings. Please note that some parts of our website may not function as intended if cookies are disabled.

(This section reflects our intended future use of these tools. We will update this Policy if and when Google Analytics, Meta Pixel or similar tools go live on our site.)

3. How We Collect Personal Information

We collect personal information directly from you when you:

Submit an enquiry or contact form on our website
Correspond with us by email
Book a meeting or call with us via Calendly or Microsoft Teams
Otherwise communicate with us in the course of discussing or providing our services

We do not knowingly collect personal information about you from third parties without your knowledge.

4. Why We Collect, Hold, Use and Disclose Your Information

We collect and use personal information for purposes including to:

Respond to your enquiry and communicate with you
Understand your business needs and provide information about our services
Schedule and conduct meetings or calls
Send you direct correspondence relevant to discussions you have had with us
Improve our website and marketing, including through the analytics tools described above
Comply with our legal obligations

We do not sell your personal information. We do not share your personal information with third parties except as described in this Policy, where required by law, or with your consent.

5. Direct Marketing

Where you have corresponded directly with us (for example, by submitting an enquiry), we may send you follow-up communications relevant to that correspondence. We do not send unsolicited bulk marketing (EDMs) to contacts beyond those we have had direct correspondence with.

Any electronic marketing message we send will comply with the Spam Act 2003 (Cth), including identifying Havstead as the sender and providing a functional unsubscribe option. You may opt out of receiving further communications from us at any time by using the unsubscribe facility in the message, or by contacting us at [email protected].

6. Storage and Security

Personal information we collect is processed and stored in Australia. We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure.

7. Overseas Disclosure

We use a small number of third-party service providers to help us run our business, some of which may store or process personal information outside Australia. These currently include:

Brevo (contact form and CRM platform) — based in the European Union
Calendly (meeting scheduling) — based in the United States
Microsoft Teams (meetings and calls) — Microsoft's global infrastructure

(Please confirm the Brevo data storage region for your account — some Brevo plans allow you to select an EU or other regional data centre, and we've assumed EU here based on the platform's default. We can adjust this section once confirmed.)

Where personal information is disclosed to an overseas recipient, we take reasonable steps to ensure it is handled in a manner consistent with the APPs, to the extent practicable.

8. Data Quality

We aim to ensure that the personal information we hold is accurate, complete and up to date. If any of your details change, or you believe information we hold about you is incorrect, please let us know at [email protected].

9. Access to Your Information

You may request access to the personal information we hold about you, or ask us to correct it, by contacting us at [email protected]. We will respond to your request within a reasonable period, and in any event within 30 days.

There may be circumstances in which we are unable to provide access to certain information (for example, where doing so would affect the privacy of another individual, or where we are otherwise permitted or required by law to withhold it). If we refuse a request, we will explain why.

10. Complaints

If you believe your privacy has been breached, or have any concerns about how we have handled your personal information, please contact us at [email protected] with details of your concern. We will investigate and respond to you within a reasonable timeframe.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC): www.oaic.gov.au

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, our services, or the law. The most current version will always be available on our website.
